
Prospective clubs can make an appointment to meet with the Sports Club Coordinator (SCC) at any time during the year to discuss the clubs program and how to become involved. The SCC is also available, at any point, to offer clarification on the policies and procedures in the clubs handbook as candidates complete their proposal.

Application review

Initial meeting with Clubs Coordinator and club organizer(s) NB. More details and research may be required and an additional follow-up meeting be required

Additional document submission (at request of Clubs Coordinator)
- Additional supporting documentation that may be requested to include, but is not limited to:
i. Certifications or qualifications for supervisor, instructor or coaching candidates**
ii. Quotes for outside facility access or required equipment
iii. Prospective membership contact list or comparable proof of program demand
**As part of the Competitive Clubs process, coaching candidates will be required to undergo an interview, reference checks, and background checks.

General onboarding and leadership training to include, but not limited to:
- Club handbooks (Recreation Clubs Handbook, Competitive Clubs Handbook)
- Document review and signing (contracts, waivers, etc.)
- Responsibilities and expectations
- Financial/accounting practices
- Emergency procedures
Timeline for Application and Recognition
In order to ensure that new and existing clubs receive equitable consideration in allocation of department resources, it’s preferred that applications for all sports clubs be completed and submitted by November 1st for launch in September of the following year.
Approved Applications
Clubs that are approved to launch will receive confirmation from the Clubs Coordinator and begin preparation for an upcoming fall launch.
New clubs will only launch in September coinciding with the onset of fall semester programming. Club leaders will be required to be in regular contact with the Clubs Coordinator over the spring and summer in order to plan and organize the club’s launch.
